WHAT YOU NEED TO BRING TO OUR VENUE ON THE DAY:
• Your own food (inc. Birthday Cake) and drinks that do not need to be heated or refrigerated.
You are very welcome to fill any jugs you bring with water from our kitchen, but we would ask that you are mindful about the effects that brightly coloured drinks may have on some children’s behaviour & furnishings. Ordering Pizza to our address is also a popular choice.

• Cake cutting knife & Cake-lift
• Extra plates/serviettes if offering cake to parents or giving guests food to take home
OPTIONAL THINGS YOU MIGHT LIKE TO BRING:
• Tablecloth
• Cake stand
• Glad wrap/Containers/Extra Serviettes to bring home remaining food (including any unfinished cake serves for guests)
Most parents don’t feel the need to have additional party bags as each guest is taking home their activity creations.
We will provide rubbish bags and dispose of any party waste.
PAYMENT & MINIMUM SPEND
A 20% deposit is required to secure your booking date which goes towards paying for your party. A Minimum Event Spend of $400 applies irrespective of your final numbers.
FOUR DAYS BEFORE THE PARTY, ALLERGIES & GUEST CHECKLIST
Four days before the event, the REMAINING AMOUNT is due. On this day you will also need to supply **THE GUEST CHECKLIST with very important information required for the purposes of Public Liability Insurance, labelling work and the smooth running of the event.
**THE GUEST CHECKLIST will need to be emailed/texted to 0416232031 with this information:
1) In the first column, please list the first name & surname initial of all guests involved in activities [inc. your child(ren)] eg. Olivia P.
2) Identify which guests have allergies related to food or the materials used in the party activity & which particular allergies they have. eg nuts, latex gloves or metals
3) List the special catering you are supplying for children with food allergies (such as separately packaged cake, chips, crackers & lollies.)
4) Identify guests arriving late/leaving early, so their pieces can be ‘pre-started’/fast tracked
CANCELLATION
If you cancel the party 7 or more days before the party date, we reserve the right to retain $50 of the deposit to cover admin fees, goods purchased for the party & the loss of income from another booking on that date.
If we cancel a party due to circumstances beyond our control, you will be entitled to a full refund.
$50 REFUNDABLE BOND – ONLY REQUIRED FOR EVENTS HELD AT WholeArtEd STUDIO
This amount will be refunded within 7 days of the event, if the party goes ahead and there is no repair or cleaning required due to damage beyond ‘reasonable wear and tear’ caused by any guests or their families during the event that affects our
*Studio, Art Equipment or Home. To protect our home & your bond, parents & siblings of guests are unable to stay for the duration of the party, but you are welcome to invite them to return for the presentation of the Birthday Cake half an hour before the party finishes. Miss Lucy Cafe (133 Central Rd, Nunawading) is open until 3pm, on Sundays.
At least one parent of the Birthday Child (with all the phone numbers of the guests’ parents ) will need to be present in case of an emergency and both parents of the birthday child are welcome to stay for the whole event. If the Birthday Child’s younger siblings are not participating in the activity, we ask that they are closely supervised for the whole party or looked after at another location.
We do ask for your assistance to identify and ensure younger/more active guests wash their hands after activities and stay seated at the table whilst eating as long as possible to ensure paint, food and drink stains are not transferred to walls or furniture. The steep staircase is out of bounds to all guests to ensure the safety of your guests and bond return.
